## What it does

Work Boards in the sidebar opens two tabs, Work Boards and Tasks. Select a row on either tab to open that board or task.

The Work Boards tab lists the kanban boards in your organisation.

| Column | What it shows |
| --- | --- |
| Title | The board's name |
| Team | The team the board belongs to, blank for an org-wide board |
| Is Default for Team | Yes on the team's default board, No on any other |
| Created At | When the board was created |
| Created By | Who created it |
| Updated At | When it was last changed |
| Updated By | Who last changed it |

The Tasks tab lists the tasks themselves.

| Column | What it shows |
| --- | --- |
| Task | The task number and its status |
| Title | The task's name |
| Parent | The order, contact, item, location or task it is about |
| Priority | Low, Medium, High or Urgent |
| Team | The team the task belongs to |
| Assignee | The person on the task |
| Due Date | The due date |
| Created At | When the task was created |
| Created By | Who created it |
| Updated At | When it was last changed |
| Updated By | Who last changed it |

Each tab opens on a built-in view, and the view list offers the others. Work Boards has All and My Teams Work Boards. Tasks has Open, which covers assigned, in progress and on hold. Its other views are Assigned, In Progress, On Hold, Completed and All. All lists every task, completed ones included.

On Work Boards, the search box filters by Team or Created. On Tasks, the search box filters by Status, Priority, Tags, Due Date, Created, Assignee, Team or Board.

The search box above the list searches and filters. Type to search. Select the box to see the fields you can filter by under Filter By, or type part of a field's name. Filter By opens under the text you type. Choose a field, then tick or set what it should match. The list changes as you go.

Each filter is a chip in the search box that reads as a sentence, as in Status is any of Assigned, Completed +2. A chip shows up to two values and counts the rest. Select a chip to change it, or its X to remove it. Clear All Filters, the cross at the right end of the search box, removes every chip and your search. On a phone, a chip shows its field and how many values it holds. Its settings open from the bottom of the screen.

Most filters with values to tick, such as Status or Assignee, offer Is and Is Not below the values. Is Not shows rows with none of the ticked values. Rows with no value count too. A Tags filter matches Any Of, All Of or None Of the tags you tick. For a date, choose On, Before, After or Between, or one of the shortcuts Today, Last 7 Days and This Month. An amount filter takes At Least, At Most or Between, in your organisation's currency. Lucrii puts a range entered the wrong way round in order, earliest or lowest first.

An empty list with no filter or search reads "No tasks yet." When a view has nothing in it, the list says so, as in "No tasks in Open." When no record matches filters you added, the list says "No tasks match these filters." Clear Filters, under that line, puts back the view's own filters. Your search stays. When no record matches your search, the list says "No tasks match this search."

Columns and Sort, the icon button beside the search box, sets the sort and the columns. Sort By picks the column that orders the list. It reads Default Order until you pick one. Choose Default Order, first under Sort By, to put the list back in its own order. Once you pick one, its two directions show below it. They read Newest First and Oldest First for a date, and A to Z and Z to A for text. A number or an amount sorts Highest First or Lowest First. Selecting a column heading sorts by it too, and Sort By follows.

Columns lists the columns you can hide. The first column always shows, so it isn't listed. Untick a column to hide it. A hidden column keeps its place. It shows greyed out. Drag a column by its handle to move it, and a line shows where it will go. You can also Tab to the handle and press the Up or Down arrow key. Reset, beside the Columns heading, puts back the columns of the view you are on.

The Actions menu beside the create button holds Import and Export. [Importing and exporting tasks and boards](/docs/boards/import-export.md) covers both.

Tick the box at the start of a row to select it. Hold Shift and tick another row to select every row between the two. With nothing ticked, the box at the top of the list ticks every row the list shows. With rows ticked, it clears them. Ticked rows bring up a bar at the top of the list. The bar covers the box at the top of the list and has a box of its own. When you tick every row from the top box, you are on the bar's box. The bar shows how many rows are ticked, up to three actions, and More Actions (⋯) with any others. Delete shows in red. Under More Actions, it comes last. On a narrow screen, the actions move under More Actions. An action a quest points to stays a button.

Selecting a row opens it when no row is ticked. Once one is ticked, selecting a row ticks or unticks it.

Press Tab to move into the list. The keys below then act on the row you are on.

- Up and Down move between rows. Enter opens the row.
- X or Space ticks or unticks the row.
- Shift with Up or Down extends the ticked rows to the next row up or down.
- Cmd or Ctrl with A ticks every row the list shows. Esc clears what is ticked.
- Hold Cmd or Ctrl with Shift as you tick a row to add a range to the rows already ticked.

When more rows match your search and filters than the list shows, a link beside the count offers them all. With 240 matching tasks, it reads Select All 240 Tasks. Select it to tick every matching row. The bar then reads All 240 tasks selected, with Clear. Untick a row and it reads 239 of 240 tasks selected.

Select the count, as in 3 selected, for Select All 240 Matching, Select Page and Clear Selection. Select Page appears while any row in the list is unticked. Esc clears the selection too. After a clear, you are back on the box at the top of the list. A table inside a record's page does not offer Select All. [Bulk actions on tasks and boards](/docs/boards/bulk-actions.md) lists what the bar does here.

A saved view keeps the filters, search, sort and columns it was saved with. Select the view's name at the left of the list's toolbar to open the view list. Built In comes first, then Yours, then Shared. Yours holds the views you saved and have not shared. Shared holds views shared with everyone in your organisation, with a people icon. A list with no saved views and only one built-in view shows the view list only once you change the list.

Choosing a built-in view sets its filters, Default Order and its standard columns. Your search stays, and so do column widths you dragged.

Change the filters, sort or columns of a built-in view and its name reads Custom. A search alone keeps the name, so it never offers Save As New View. Open a link whose filters match none of the built-in views and the name reads Custom too. A saved view you change reads its name and Edited, as in My Urgent Tasks · Edited. When you come back to the list, it opens on the view, search, filters, sort and columns you last used. A list you leave on Custom opens on Custom. A link someone sends you opens with the filters in that link.

While the view reads Custom or Edited, the view list ends with Update View, Save As New View and Reset. Update View keeps your changes in the saved view you are on. It shows only on a saved view you can change. Built-in views never change. Reset puts the list back to the view you are on, or to the list's first built-in view when it is on none. Cmd or Ctrl with S runs Update View, or opens Save As New View where there is no Update View.

The menu beside each saved view in the view list holds Rename, Duplicate and Delete View. A team leader or above also sees Share With Organisation, or Stop Sharing on a shared view.

## Before you start

Create Board appears for a team leader and above, and for anyone who manages at least one team. [Creating a work board](/docs/boards/work-boards-create.md) covers the rest. Create Task is for everyone.

Exporting is for a team leader or above. Importing is for an administrator or above.

You can keep up to 50 saved views of your own on each list. Sharing a view needs a team leader or above. So does changing or deleting a shared view.

## How to use it

1. Open Work Boards from the sidebar.
2. Select the Work Boards tab or the Tasks tab.
3. Select the view's name at the left of the toolbar, then choose a view. Search and filter from the search box, and sort from Columns and Sort or a column heading.
4. Select a row to open that board or task.
5. Select Create Board or Create Task at the top right.

To save a view of your own:

1. Set up the list with the filters, sort or columns you want. Add a search if you like.
2. Open the view list at the left of the toolbar, then select Save As New View.
3. Enter a name for the view and select Save.

## Troubleshooting

The Work Boards tab says "The teams you belong to could not be loaded." Lucrii cannot read your team memberships right now. Until it can, My Teams Work Boards is empty. Try again shortly.
